Kitomba 1 Security is here! So we want to give you the low-down on our latest feature release. We’ve been working on redesigning our security system to make it easier to use, simple to manage users, and make it better for everyone using Kitomba 1.

Built for you

We know there’s different types of people in your business. This can range from owners and managers to staff and even external providers such as accountants.

So we’ve designed security so it has 5 access levels that allow you to provide each of your users with the access they require, while being confident that your data is safe!

Here’s the new Kitomba 1 Security access levels:

 

Easy to use

All Kitomba 1 users have now been moved over to our new security system, so you shouldn’t need to do anything.

But when you need to update someone’s access, you’ll only spend a few seconds selecting one of the 5 access levels and you’re done! Read our support guide for more details.

Make sure you have Kitomba 1 access

If you and your team don’t have Kitomba 1 access, you need it now! There’s already thousands of users using our cool features.

We’ve rebuilt security to make set up really easy for you and it means you can access all these amazing features and those that are coming soon:

Here’s what each security access level is ideal for:

Limited This access level is perfect for your staff who need helpful features like viewing the appointment book and the ability to add and update clients. But it keeps your important data like client contact details safe!
Standard Standard access is perfect for trusted staff members. They still can’t see client contact details or access reports but they have a little more access allowing them to do handy things like manage appointments and products and services, as well as setting things up like marketing campaigns and Online Booking settings. HINT: Limited and standard access are perfect for your staff. These levels allow your staff to access features that we’ve created for them personally too – their scoreboard, daily appointment list and targets!
Advanced Perfect for salon managers, this access level gives them the flexibility to run reports and view client contact details. But prevents the ability to complete admin tasks such as downloading client lists and link to MailChimp accounts. That’s because we know how important your business data is!
Admin This is the highest access level allowing a user to see and use all features within Kitomba 1. It’s ideal for an owner or even a trustworthy manager.
Accounts/Reports This access level was created for external providers. Give your accountant and business coach access to reports, allow your suppliers to see products and service lists so they can update them for you. Even an advertising supplier or designer can access campaign marketing. Now they can get the information they need without having to bother you. Plus you have peace of mind all your other business information is safe.

FAQs

How do I change from the old security system to the new one?

Good news, you don’t have to! Kitomba has done this automatically for you and have ensured your staff are only getting the same level of access they previously had.

I need to change someone’s access level, how do I do that?

Log into Kitomba 1, select settings and go to the staff section. For more information, see our support guide.

Some of my users in Kitomba 1 are showing as staff and others as Kitomba 1 users, what’s the difference?

Kitomba 1 users are people you have invited to access Kitomba 1, for example, accountants, graphic designers and business coaches.

Whereas staff are people who work within your salon and therefore need to be set up as a staff member to use all the features they require to do their job.

Can I create my own custom roles?

No you can’t and you won’t need to! We talked to lots of people before we started developing this feature and keeping it simple and safe was deemed most important.

If you feel there is another role that needs to be added, please add a feature request to the Kitomba Community found on the support page.

If I deactivate a person can I reactivate them?

Yes, but you will need to add their email address again so they are able to login. This will also deactivate them in Kitomba (staff only).

Can I be a chain and branch user at the same time?

No, you need to be either a chain or a branch user. However, you can still be a branch user at multiple branches as long as the role level is the same at all branches.

What if I don’t want my staff to have access to all the features available in the lowest level of access?

Providing your staff with Kitomba 1 access is optional, so simply don’t set them up. Note, the Kitomba 1 access you give them will not affect the Kitomba permissions you’ve set for them.

  1. It’s great to have salon targets but I don’t understand why each operator can’t have their own targets as a salon owner I never any my staff to see the total sales or targets

    • Hi Eric, we’re glad you’re enjoying targets! The good news is that each of your operators can have their own targets if you set them up with the correct security access level. That also means they’ll only be able to see their own targets and no one elses (not your salon targets either).
