Feature release: Kitomba 1 Waitlist

12 May 2020 by Kitomba

We’ve added a new feature to the Kitomba 1 Appointment Book – Waitlist. This allows you to add clients to your waitlist, from anywhere, on any device. Then seamlessly move them onto your appointment book to fill cancellations and gaps. We thought this feature would be highly beneficial to our customers during the COVID-19 pandemic, so we moved it to the top of our list to get it out to you as quickly as possible. Here’s how it works:

1. Create waitlist cards

If you’re not currently able to book a client in, you can create a waitlist card with all their details and requirements by clicking on the new ‘Add’ button in the Kitomba 1 Appointment Book.

2. View your waitlist

View your waitlist by clicking on the new Waitlist icon, next to the ‘Add’ button. There are also two ways you can filter your waitlist to make it easier to manage – by date or staff member.

3. Fill cancellations and gaps

If you have a gap in your appointment book or a spot opens up due to a cancellation, review your waitlist to see if there are any clients wanting an appointment.

If you find a suitable client on the waitlist, simply drag and drop their waitlist card onto the appointment book. If you’re on a smartphone or tablet, you’ll select “Add to calendar” then click your chosen space on the appointment book.

To learn more about how to use Waitlist, check out our short video that takes you through the process.

For more information on the benefits of Waitlist, check out our Facebook Live with the Kitomba team on how it works and why it’s so beneficial for your business!

We’ve also released two other brand new features! Check out our blogs to learn more about the cancelled and no-show client filters and Online Booking appointment buffer.

  1. Fantastic waitlist! Have used it and am so happy with it! Will it be integrated into regular Kitomba? As you can imagine it’s a pain having the launch Kitomba 1 every time you want to use it.

  2. We’re so glad you like it! Waitlist is currently only available in Kitomba 1, so if you want to use it on the same computer as your main Kitomba, you can open Kitomba 1 in your browser, keep it open all day, and easily switch between the two using your task bar at the bottom of your screen or by pressing Alt+Tab on a PC, or Command+Tab on a Mac.
    Hope this helps!

  3. Love the waitlist, but would be great if you could add a search function or run a report that can be used for associated client communications

    • We’re so glad you love Waitlist! I’ve passed your idea on to our development team. It’s also a great idea to add your request to the feature request forum by clicking on the Support tab in Kitomba 1 then choosing “Request a feature”. That way if any other businesses like your idea they can comment too!

  4. Love this feature! Especially awesome during lockdown – is there any way we can advertise for new clients to add themselves to the wait list?

    • Hi Serena, it’s great to hear that you love Waitlist! There is an ‘about your business’ on your Online Booking page where you could add a message saying ‘Please call 02 222222 or message us on Instagram or Facebook if you can’t get your desired time and wish to be on a waitlist’. Currently, your clients can’t add themselves to your waitlist. If you would like to have this feature in the future, it’s a great idea to add your request to the feature request forum by clicking on the Support tab in Kitomba 1 then choosing “Request a feature”. That way if any other businesses like your idea they can comment too!

  5. This feature needs to be on main Kitomba; staff are busy enough as it is to need to be switching between; this feature has been requested to be on main Kitomba for many, many years!
